Cancellation Policy
We understand plans change. Here is exactly how cancellations and rescheduling work.
Governing Legal Framework
This policy operates under the Consumer Protection Act 2075 B.S. (2018 A.D.) and the Muluki Civil Code 2074 B.S. (contract and obligation provisions). Deposit forfeiture terms reflect the cost of holding reserved artist time and are proportionate to the notice given.
1. Standard Appointments
The following cancellation terms apply to all single-service appointments (hair, makeup, nails, skin, spa, mehendi, brows & lashes, and mobile beauty bookings):
2. Bridal & Package Bookings
Due to the exclusive time our team dedicates to bridal and package clients — including pre-wedding consultations, trials, and day-of coordination — stricter cancellation terms apply:
3. Rescheduling
Standard Appointments
- Rescheduling more than 48 hours in advance: no charge, subject to availability.
- Rescheduling within 48 hours: an admin fee of NPR 500 applies, subject to availability.
- Each booking may be rescheduled a maximum of two times. Subsequent changes will be treated as a cancellation.
Bridal & Package Bookings
- One complimentary reschedule is offered if requested more than 30 days before the original event date.
- Rescheduling within 30 days of the event is treated as a cancellation under Section 2.
4. Our Cancellation Rights
Glow & Grace reserves the right to cancel a confirmed booking in the following circumstances:
- Serious illness or emergency affecting the assigned artist
- Closure of a studio location due to safety concerns, natural disaster, or government directive
- Failure by the client to pay a required deposit within the specified deadline
- Discovery of a health or safety risk that makes providing the service unsafe
In any of the above cases, we will provide as much notice as possible and will offer a full refund of any deposit paid, or a complimentary reschedule at your preference. We will not be liable for any secondary losses (e.g. travel costs) arising from a cancellation on our part.
5. Force Majeure
Neither party shall be liable for failure to perform obligations where such failure results from circumstances beyond reasonable control, including but not limited to natural disasters (floods, earthquakes — which Nepal is particularly susceptible to), government-declared states of emergency, bandhs, national strikes (chakka jams), or public health crises.
Under Muluki Civil Code 2074, Part 7 (Contract Provisions)
Where performance of a contract becomes impossible due to force majeure, neither party is in breach. We will endeavour to offer a rescheduled appointment at the earliest mutually convenient date. Where rescheduling is not possible, deposits will be refunded in full.
6. Exceptional Circumstances
We understand that serious illness, family bereavement, or genuine emergencies may prevent attendance. Please contact us as soon as possible if you find yourself in such circumstances. We review these situations compassionately and on a case-by-case basis, and will do our best to accommodate you.
Documentation (e.g. medical certificate, hospital letter) may be requested before any deposit is credited or refunded outside the standard terms.
7. How to Cancel or Reschedule
Please notify us through one of the following channels, stating your full name and booking date:
- WhatsApp or call: +977 976 212 0425
- Email: hello@glowgrace.net
- In person at your studio location
The time of cancellation is recorded at the moment we receive and acknowledge your notification — not the time of sending. We recommend calling during business hours for time-sensitive cancellations.
